Who is responsible for your information
Halewood (the "responsible party") collects and processes the personal information you provide through this application portal for the Production & Maintenance internship programme. Questions and requests about your information: contact our HR team at Recruitment@halewood.co.za, quoting your application reference number.
What we collect
- Identity and contact details: name, ID or passport number, email, mobile number, city.
- Education: qualification, institution, year, and the certificate/transcript images or PDFs you upload.
- Identity document: the photo or scan of your ID document or passport.
- Camera images: a live selfie before the aptitude test and random snapshots from your camera while you take the test.
- Test data: your answers, the time taken per question, and integrity events recorded during the test (for example leaving the test window, copy/paste attempts, or more than one person being visible on camera).
- Your motivation statement and your acknowledgement of the physical requirements of the role.
Why we collect it and on what basis
- To assess your application and shortlist candidates for interview (processing necessary for steps you ask us to take before entering into a contract, and our legitimate interest in fair, consistent recruitment).
- To confirm that the person who completed the aptitude test is the applicant, and that the test was completed without assistance, so that the process is fair to all applicants (legitimate interest). You give consent to the camera monitoring when you start the application; the test cannot be taken without it.
- To verify qualifications and identity for shortlisted candidates.
Providing this information is voluntary, but we cannot consider an application without it.
Automated processing
The aptitude test is scored automatically and produces a recommendation band. No decision about you is made solely by automated means: every application is reviewed by a member of the recruitment team, and shortlisted candidates complete a supervised verification test and interview before any decision is made. Selection decisions are at Halewood's discretion and are final; results are not communicated to individual applicants and no correspondence will be entered into about them.
Who sees your information
Only Halewood's recruitment team and the hiring managers for the internship programme. Your information is not sold or shared with third parties for their own purposes. It is stored on a server operated for Halewood by Hetzner Online GmbH in Germany (a jurisdiction with data protection laws substantially similar to POPIA, as required by section 72 of POPIA). If we send reports by email, an email delivery service is used solely to deliver them to our HR team.
How long we keep it
- Applications that are not completed are deleted automatically after 14 days.
- Completed applications, including camera images, are deleted automatically 90 days after completion, unless you are appointed (in which case the relevant records move to your personnel file) or you ask us to delete them sooner.
- Server backups are kept for 14 days and then overwritten.
How we protect it
The portal is served only over encrypted connections (HTTPS). Applicant records are held on a firewalled server with key-based administrator access only; the recruitment dashboard requires a separate access key and signs users out automatically. Camera images are used for identity verification and test integrity only and are never published.
Your rights
You may ask us at any time to confirm what personal information we hold about you, to correct it, or to delete it (which will end your application if it is still in progress). You may also object to processing or withdraw consent. Contact HR at Recruitment@halewood.co.za.
